Job Description

The Assistant Proposal Coordinator will report to and assist the Proposal Coordinator with the development and submission of Request for Proposals (RFP’s) and Request for Qualifications (RFQ’s) while also managing and maintaining our Digital Asset Manager (DAM) system. This dual role involves a combination of proposal support and digital asset management responsibilities.

 

Primary Responsibilities

  • Proposal Support
  • Document Preparation: Assist in the creation and formatting of proposal documents, including cover letters, executive summaries, and other proposal sections.

 

  • Proposal Organization: Maintain a well-organized proposal library and repository for frequently used content and templates.

 

  • Coordination: Coordinate meetings, review sessions, and communication between team members involved in proposal development.

 

  • Editing and Proofreading: Review proposal content for grammar, formatting, and consistency, and ensure compliance with proposal requirements.

 

  • Quality Control: Assist in ensuring the overall quality of proposals, including graphics, layout, and content.

 

  • Support Proposal Coordinator: Provide administrative support to the Proposal Coordinator, such as calendar management, meeting coordination, and other tasks as needed.

 

  • Digital Asset Manager (DAM)
  • DAM Maintenance: Manage and maintain the Digital Asset Manager, ensuring that all digital assets are organized, tagged, and easily accessible.

 

  • Asset Upload: Upload new digital assets into the DAM, ensuring they are properly categorized and tagged.

 

  • Asset Retrieval: Assist team members in retrieving digital assets.

 

  • Resumes: Create and maintain resumes for all co-workers.

 

  • Project Profiles: Create and maintain project profiles for all projects. 

 

Minimum Qualifications

  • Bachelor’s degree in marketing, business, engineering, English, or related discipline.
  • Strong verbal and written communication skills.
  • Ability to work independently and collaboratively as a team.
  • Positive attitude and willingness to learn.
  • Capable of multi-tasking and prioritizing work assignments.
  • A strong communicator who is comfortable interfacing with different levels of the organization.
  • Proficiency in Microsoft Word, Microsoft PowerPoint, Microsoft Excel, and Microsoft Teams.
  • Strong organizational skills and an eye for detail.
  • Willingness and ability to adapt and learn in a fast-paced environment with tight deadlines
